I. PURPOSE
Documentation specialists are administrative workers who manage office documents. Their primary responsibilities include organizing an archiving system, retrieving documents upon request and outlining a long-term storage strategy.
II. DUTIES AND RESPONSIBILITIES
- Manages and organizes documentation and contracts
- Monitors inventory, warranties, and renewal databases
- Prepares and consolidates service and warranty documents
- Ensures document accuracy, integrity, and access control
- Labels, sorts, and categorizes files for easy retrieval
- Coordinates with teams to maintain consistent documentation practices
- Trains employees on proper documentation usage
- Removes outdated or obsolete documents
- Performs additional tasks and supports extended office hours as needed
III. QUALIFICATIONS
- College Degree (any 4-year course)
- With at least 2 years administrative work experience
- Proficiency in MS Productivity such as Excel, Word, PowerPoint and Outlook
- Ability to create and analyze reports using Microsoft Excel
- Adaptability to fast facing environment and Trends culture
- Proficiency with scanning and administrative technology
- Physical strength and stamina for heavy lifting
- Outstanding organizational skills
- Multitasking ability
- Attention to detail
- Excellent written and verbal communication
- Good interpersonal skills
- Ability to multitask and manage several responsibilities simultaneously
- Proficiency in using Microsoft tools and other basic business software for day-to-day activities
IV. WORKING CONDITIONS
- Must be available during regular work hours and willing to render work beyond office hours, as needed.
- Will report to Trends Office at 6F Trafalgar Plaza, H.V. Dela Costa St., Salcedo Village, Makati City.
- Must be a team player; willing to assist and provide guidance to junior members of team.
