I. KEY RESPONSIBILITIES
Sales & Administrative Support
- Prepare and process sales-related documents such as sales orders, purchase requests, and master data records
- Track and update sales reports, order statuses, and other operational files
- Prepare, monitor, and consolidate expense and reimbursement reports
- Handle client inquiries and phone orders when Account Managers are unavailable
- Maintain logs and trackers for various sales activities and records
Coordination & Documentation
- Coordinate delivery schedules with logistics partners, suppliers, and customers
- Prepare and compile documents for bidding, accreditation, and compliance requirements
- Send training confirmations, calendar invitations, exam vouchers, and event reminders
- Update CRM and internal systems (e.g., Ivanti) and coordinate with relevant teams
- Assist with meeting documentation, including taking minutes when required
Operational Support
- Support sales activities for assigned accounts
- Assist with reimbursements, advances, and liquidation processes
- Perform additional administrative and sales support tasks as needed
III. QUALIFICATIONS
- Bachelor’s degree in any field
- At least 2 years of experience in sales support, office administration, or a similar role
- Strong customer service mindset with good interpersonal and communication skills
- Proficient in MS Office applications, especially Excel, Word, PowerPoint, and Outlook
- Able to prepare, analyze, and manage reports using Excel
- Highly organized with strong time management and multitasking abilities
- Detail-oriented, dependable, and service-focused
- Clear written and verbal communication skills
- Self-motivated, adaptable, and able to work with minimal supervision
- Willing to render overtime when necessary
